Administrative Assistant (Full-Time)

Admissions Associate (Full-Time)

A professional member of a school admissions team, the Admissions Associate recruits new families, guides families through the process of initial contact to enrollment, plans admissions events, and conducts school tours.
The Admissions Associate is an essential part of the lead management and customer experience process and ultimately growth of Providence Academy. The Admissions Associate serves as a key representative of the school’s mission and values.
Primary Responsibilities
Engagement and Customer Experience
• Lead generation of enrollment prospects
• Help convert student leads to enrollees
• Be a knowledgeable and helpful first point-of-contact for prospective students and families
• ​Establish and foster positive working relationships ​with prospective parents through on campus recruiting activities and
• Respond to all inquiries and applicant questions
• Guide and support prospective families through the admissions and enrollment process

    Development Officer/Assistant Director of Development

    The Development Officer/Assistant Director of Development supports the mission of Providence Academy through event planning and fundraising activities. This role is highly collaborative, working with many internal and external constituents, and supports the Director of Development in all aspects of fundraising, event planning, and donor stewardship. This position is people-centric, and would be an excellent fit for someone seeking a customer-facing role in advancing the Catholic, college-preparatory educational mission of Providence Academy. Title of Development Officer or Assistant Director of Development will be determined based on the qualifications of the candidate. 

    Relationship Management

    • Plan and execute 10-20 Development events per year, including Grandparents Day, Gala, and other fundraising and friendraising events
    • Coordinate with internal and external staff, volunteers, and vendors, ensuring excellent communication and clear expectations for all, especially related to event planning
    • Partner with the Director of Development on the strategy and management of development operations, including direct solicitation of donors to support PA through the Annual Fund, Capital Campaign, Planned Giving, Gala, and other fundraising initiatives
    • Assist in the management of donor stewardship programs, showing gratitude and care for all supporters of Providence Academy
    • Inspire and equip volunteers to give of their time and talent to the Academy, particularly related to Development events

    Organizational Management

    • Assist in setting and progressing toward fundraising goals through key performance indicators (e.g. total fundraising revenue, participation, donor retention, average gift, overall engagement, etc.)
    • Assist with direct mail and electronic communication including design and copywriting for all Development Office projects and events
    • Assist in management of the Providence development database and gift processing activities, accurately recording gifts, producing qualitative and quantitative analysis or giving trends, and providing timely and meaningful written acknowledgment to donors from across constituencies
    • Maintain awareness of industry trends and best practices in independent school donor engagement and fundraising, as well as participate in peer groups (online and in person) to identify opportunities, strategies, efficiencies and more to facilitate increased philanthropic support for Providence

    Competencies and Qualifications

    • Commitment to the mission of Providence Academy
    • Bachelor’s Degree in relevant field and two+ years of professional experience
    • Customer-oriented with excellent communication and interpersonal skills, together with the ability to work collaboratively and independently
    • Demonstrated proficiency with all Microsoft applications, including Excel, as well as experience with database systems/CRM software; experience with Salesforce and/or Raiser’s Edge preferred

    Middle School Aide (Part-Time)

    Part-Time Hourly Assignment:  25 hours per week

    Providence Academy is seeking a middle school aide for the 2022-2023 school year.  This position will require working with students as a substitute teacher, supervising students after school, and assisting middle school teachers and staff.  A successful candidate will be able to:

    Marketing & Communications Manager

    Position Summary

    Under the direction of the Director of Admissions and Marketing, the Marketing and Communications Manager is responsible for coordinating and executing the design and production of the school’s marketing materials and school-related publications and communications through the use and management of multiple media platforms in support of promoting the school.  This is a full time year-round position. 

    Duties and Responsibilities

    • Develop, design, and manage print and electronic materials, and other forms of advertising in collaboration with school leadership, and various departments in support of school events, and marketing endeavors.
    • Design, coordinate, and maintain all aspects of social media campaigns and electronic communications for various school efforts. 
    • Provide graphic design, layout, copywriting, editorial and distribution support for school publications. 
    • Conduct regular website maintenance/editing.
    • Perform SEO analytics.
    • Serve as a liaison between the school and news media.
    • Support the various departments, such as athletics, admissions and summer activities through the creation and distribution of marketing materials. 
    • Participate in and attend Providence Academy events as it relates to supporting the position’s role and responsibilities.

      Desired Qualifications and Skills

      • Bachelor’s Degree in Communications, Marketing, or experience in related field is required; minimum of two years of experience in one or all of these areas
      • Demonstrated proficiency in desktop publishing (Adobe InDesign, Illustrator, and Photoshop), Microsoft Office Suite (Word, Excel, PremierPro, and PowerPoint), social media platforms, WordPress, and creative web-based media softwares. 
      • Demonstrated experience with digital photography preferred.
      • Strong communication skills, both written and verbal. 
      • Ability to craft and/or edit messaging to a variety of audiences and across multiple platforms with exceptional attention to detail.

        Middle School Religion Teacher

        Providence Academy is seeking an experienced middle school religion teacher for the 2022-2023 school year.  A successful candidate will be required to:
